PRIVACY & CONFIDENTIALITY

PRIVACY POLICY

How I collect, use and protect your personal information when you visit this website, make an enquiry or work with me.

Last updated: 3 October 2026

Who I am

I am Al Stone, an independent executive and performance coach. For the purposes of UK data-protection law, I am the data controller responsible for the personal information described in this notice.

You can contact me at:

Email: hello@al-stone.com

Information I may collect

When you contact me through this website, by email or through another agreed method, I may collect:

  • Your name and email address
  • Your job title, organisation or professional background where relevant
  • The information contained in your enquiry and other communications
  • Information needed to arrange and administer coaching conversations or sessions
  • Information relating to invoices and payments where relevant
  • Feedback that you choose to provide
  • Any personal or sensitive information that you choose to share in connection with your enquiry or coaching

If we work together, I may also keep brief coaching notes and records of agreed actions, goals or practical arrangements. I keep only the information reasonably needed to provide and administer the coaching service.

The website, hosting provider and security systems may process limited technical information, such as your IP address, browser type, device information and access logs, where this is necessary to operate, maintain and protect the website.

How I use your information

I may use your information to:

  • Read and respond to your enquiry
  • Discuss whether coaching may be suitable for you
  • Arrange and provide coaching conversations or sessions
  • Manage appointments, communications, invoices and payments
  • Keep appropriate administrative and coaching records
  • Meet legal, accounting, insurance and professional obligations
  • Protect the security and proper operation of the website and coaching practice
  • Establish, exercise or defend legal claims where necessary

I do not sell, rent or trade your personal information. I do not use information submitted through the enquiry form for marketing, and I do not use automated decision-making or profiling.

My lawful bases for using your information

UK data-protection law requires me to have a lawful basis for processing personal information. Depending on the circumstances, I rely on:

  • Contract: where processing is necessary to take steps at your request before entering into a coaching agreement or to provide an agreed coaching service
  • Legitimate interests: where processing is reasonably necessary to operate, administer and protect my coaching practice, provided those interests are not overridden by your rights
  • Legal obligation: where I must process or retain information to comply with the law
  • Consent: where you have made a clear choice to allow a particular use of your information

Sensitive information

Your enquiry or coaching conversations may sometimes include sensitive information, such as information about your health, wellbeing, disability, racial or ethnic origin, beliefs, sexual orientation or other personal circumstances.

If you voluntarily include sensitive information in an initial enquiry, I rely on your explicit consent to use it to respond to that enquiry. If sensitive information is relevant to ongoing coaching, the appropriate arrangements and consent will be discussed with you as part of the coaching agreement.

You may withdraw consent for future processing that relies on consent by contacting me. This will not affect processing that has already taken place lawfully or information that I must retain under another lawful basis.

Confidentiality and sharing

Information shared with me in connection with coaching is treated as private and confidential, subject to the terms of any coaching agreement and any legal obligations that apply.

Where necessary, limited information may be processed by trusted providers supporting my website hosting, email, information technology, security, accounting, insurance or professional services. These providers may use the information only to provide the relevant service and must protect it appropriately.

I may need to disclose limited information where:

  • Disclosure is required by law, a court order or an appropriate legal authority
  • It is necessary to establish, exercise or defend legal claims
  • There is another compelling legal reason to do so

Where reasonably possible and legally appropriate, I would aim to discuss such a disclosure with you first.

Online coaching

If we agree to meet online, a service such as Zoom or Microsoft Teams may be used. The provider may process limited account, meeting and technical information in accordance with its own privacy terms.

Online coaching sessions will not be recorded unless this has been discussed and expressly agreed beforehand.

Storage and security

I take reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access or disclosure. Electronic records are protected through appropriate passwords, device security and access controls.

Some technology providers may process information outside the United Kingdom. Where this happens, I will use providers that apply safeguards recognised under UK data-protection law.

How long I keep information

If an enquiry does not lead to coaching, I will normally delete the enquiry and related communications within six months of our last contact.

If we work together, relevant communications, administrative records and brief coaching notes will normally be retained for up to six years after our work ends, where this is reasonably necessary for legal, insurance or legitimate business purposes.

Financial and accounting records may be kept for longer where required by law. I periodically review the information I hold and securely delete it when it is no longer needed.

Cookies and technical information

This website may use cookies and similar technologies that are necessary for its basic operation, security and accessibility.

The website is not currently configured to use advertising, marketing or non-essential analytics cookies. If this changes, this notice and the Cookie Policy will be updated and consent will be requested where legally required.

Further information is available in the Cookie Policy.

Your data-protection rights

Depending on the circumstances and the lawful basis being used, you may have the right to:

  • Ask for a copy of the personal information I hold about you
  • Ask me to correct inaccurate or incomplete information
  • Ask me to delete information
  • Ask me to restrict how information is used
  • Object to certain uses of your information
  • Receive information you provided in a portable format
  • Withdraw consent where processing is based on consent

These rights are not absolute, and there may be circumstances in which I am legally permitted or required to continue processing or retaining information.

To exercise a right or ask a question about your information, email hello@al-stone.com. I will respond as soon as reasonably possible and normally within one month.

Concerns and complaints

If you have concerns about how I have handled your information, please contact me first at hello@al-stone.com so that I can investigate and try to resolve the matter.

You also have the right to complain to the Information Commissioner’s Office:
